Managing and Executing an excursion evening for
G20 Delegates attending the 2nd Energy Transitions Working Group Meeting
Main Roles
- Development of the concept and design befitting an event of a global scale and impact
- Successful Execution and Seamless management of the entire event
- End-to-end handling of every activity related to the mega event such as the arrangement of green room clusters, chemical toilets, and seating
- Planning & Execution of Cultural program and decoration of the entire venue
- Arranging personalized services for high-ranking Indian dignitaries (including the Honourable CM of Gujarat) and foreign delegates (including the Head of Delegations)
- Setting up the infrastructure for gala dinner services for the VVIPS & G20 Delegates
- Photography & Videography of the event
Behind the scenes of a Cultural event for raising awareness of India's first fully solar-powered village
The 2nd Energy Transitions Working Group meeting was held from 2-4 April 2023 in Gujarat. On 3rd April 2023, G20 Delegates of this group visited Sujanpura Village (where the Gujarat government showcased solar-free panels) and received an educative tour of the Solar Power Plant and later the Sun Temple (Surya Mandir) at Modhera (India's First 24/7 solar energy powered town).
The event showcased Gujarat's unique opportunity to present its rich heritage, tourism, culture, and tradition. We also made sure that the state’s investment potential and economic development across sectors were highlighted well to the visiting delegates.
- Ensuring the highest level of hygiene and decorum which would elevate the hospitality experience of the G20 Delegates, especially the Gala dinner setup with live musicians
- Organizing the entire venue for setting up of the Welcome Gate at the entrance, carpeting on walkways, standees, signages, view cutters, fresh flower tubs, proper lighting & decoration, and small standees & hoardings of G20 branding
- Setting up of 3 large high-quality hoardings outside the premises.
- Ensuring that every standee & hoarding was made of fabric (for a No Plastic Zone premise)
- Appropriate fumigation of the entire venue
- Conceptualizing and planning engaging light and sound for the stage performance of 125 artistes
- Decorating the entire venue with immersive ambience lights thereby elevating the entire evening's experience
- Ensuring sufficient external water supply for F&B services for the guests
Impact
The event hosted 150 G20 delegates with Hon'ble Chief Minister Shri Bhupendra Patel as Guest of Honour and several government dignitaries and officials. Receiving a warm & grand welcome, the guests were treated visually to the magnificent Sun temple and its intricate architectural details, an immersive light & sound experience showcasing the Saga of the Sun, and enchanting classical dance forms. Being a gala cultural event, dignitaries and delegates enjoyed delectable food and experienced the heartwarming hospitality of the state.
